Business Email, Done Right: A Plain Guide to Managed Microsoft 365

Business email is where growing teams quietly get stuck: setup, security, deliverability, the wrong plan. Here is managed Microsoft 365, explained in plain English.

Email is the least glamorous thing your business runs, and quietly one of the most important. It is how customers reach you, how contracts get signed, how your team talks all day. So when it breaks, or lands in spam, or gets spoofed, it is not a small problem. It is the problem.

And here is the frustrating part: business email is genuinely easy to get wrong, and almost nobody explains it in plain words. So let us do that.

First, what "business email" actually means

Business email is email on your own domain, like you@yourbusiness.com, not a free you@gmail.com address. That one change makes you look legitimate, keeps your brand consistent, and means the email belongs to the company, not to whoever set up a personal account three years ago.

You have two grown-up options for running it: Microsoft 365 or Google Workspace. Both are solid. Most established businesses, especially the ones that live in Outlook, Excel, and Teams, land on Microsoft 365. The catch is not the software. It is everything around it.

The part nobody warns you about

Buying Microsoft 365 straight from Microsoft is like being handed the keys to a very nice car in pieces. The license is the easy bit. Then you have to set up each mailbox, move everyone's existing email over without losing anything, configure a handful of behind-the-scenes settings so your mail actually delivers, and keep the whole thing secure so nobody can spoof your domain and email your customers pretending to be you.

That security piece trips up almost everyone. You will hear three acronyms: SPF, DKIM, and DMARC. In plain English, they are three little notes your domain publishes that together say "here is who is actually allowed to send email as us, and here is how to check that it is really us." Get them right and your email lands in inboxes and cannot be easily faked. Get them wrong, or skip them, and your messages drift to spam while scammers get an opening.

They are fiddly, they are easy to mistype, and they are exactly the kind of thing you do not want to be Googling at nine at night.

Which plan do you actually need?

Microsoft sells several tiers, and the names are not helpful, so here they are in human terms. Prices are per user, per month, and are a starting point.

  • Essentials, around $6. Just email, done properly, on your domain. A roomy 50 GB mailbox, calendar, contacts, and spam and phishing protection. No Office apps. Great for a team that mostly lives in email and uses Google Docs or nothing.
  • Professional, around $11. Everything above, plus Microsoft Teams, a full terabyte of cloud storage, the web versions of Word, Excel, and PowerPoint, and shared company files. The sweet spot for a lot of small and mid-size teams.
  • Professional Plus, around $19. Adds the installed desktop Office apps everyone knows, plus webinar hosting. For teams that live in Excel and PowerPoint all day.
  • Business Premium, around $30. Everything, plus serious security: single sign-on, device management, advanced threat protection, and the ability to enforce real security policies. Where a growing, security-conscious company wants to be.

Bigger, or in a regulated industry with compliance rules? That is a quick conversation with a human, not a checkbox, and we will point you to the right enterprise plan without overselling you.

Not sure which one fits? That is normal, and it is genuinely what we are here for. Most people do not need the top tier, and we would rather put you in the right plan than the priciest one.

Same license. Better everything.

Here is the honest pitch. Squish is an authorized Microsoft reseller, which means the license costs you the same as buying it straight from Microsoft. You are not paying a markup for the software.

What is different is everything around it. We do the setup. We migrate your existing email over for free, without dropping a single message, whether you are moving off Google Workspace, off a clunky GoDaddy email setup, or off some old server nobody remembers the password to. We write all those fiddly SPF, DKIM, and DMARC records for you, correctly, the first time. You get one bill instead of a pile of them. And when something is off, you reach a real person who can see your setup, or you handle it yourself in the dashboard if you would rather. Your choice, same as always.

That is the whole idea: enterprise-grade email, with a human quietly handling the parts that ruin people's afternoons.

The bottom line

Good business email should be invisible. It should just work, land in inboxes, keep the impostors out, and never cost you a weekend of untangling DNS records. You should not have to become an email administrator to run a business.

Managed Microsoft 365 is how you get the serious, grown-up email system without the headache of running it yourself. You bring the team. We will handle the wiring.
