Moving Your Business Email Without Losing a Single Message

The fear of losing years of email keeps teams stuck on the wrong provider. Here is how an email migration actually works, safely, with nothing lost along the way.

The single biggest reason businesses stay on email they have outgrown is a quiet terror: if we move, we will lose years of messages. It is a completely fair fear, and it is also almost entirely avoidable. Here is how moving email actually works when it is done right.

What people are afraid of

The nightmare version is that someone flips a switch and suddenly the old inbox is gone: contracts, receipts, that one thread you needed. If email moves were really like that, nobody would ever do one. They are not.

How a safe email migration really works

The whole trick is that nothing gets deleted until the new home is proven. Roughly:

  1. Set up the new mailboxes alongside the old ones, not instead of them.
  2. Copy everything across: messages, folders, contacts, calendars. The originals stay put the entire time.
  3. Check that it all arrived, so you can see your full history safely in the new place.
  4. Switch the delivery so new mail starts landing in the new mailbox.
  5. Keep the old one briefly as a safety net before anything is retired.

At no point is your only copy at risk. You are adding a new home and moving in, not burning down the old one and hoping.

The part that matters

Like any migration, this is simple to describe and easy to fumble. The reassuring version is only reassuring if the people doing it know what they are doing. At Squish, we handle email migrations for you, for free, and we do not retire anything until you have confirmed your history is safely in its new home. Moving your email should cost you nothing and lose you nothing. Ask Faber or a human, and we will walk you through exactly what your move looks like.
